Shipping & Delivery From Guangdong to Your Warehouse
We ship from Pingyuan County, Guangdong Province. Our freight forwarders operate out of Shenzhen, Guangzhou, and Yantian ports — all within a 4-hour trucking radius of our facility. That proximity means your finished goods clear factory QC and reach the port within 1–2 days, not a week of internal transit.
How Your Order Moves from Our Floor to Your Warehouse
Every order gets assigned to our export logistics team the day production completes final inspection. They coordinate crating, container loading, documentation, and carrier booking as a single handoff — you get one tracking number and one point of contact from factory gate to port of departure.
Final QC Passed
Production completes inspection. Export team assigned same day.
Crating & Loading
Professional export crating and container loading coordinated in-house.
Documentation
Export docs and carrier booking handled as a single handoff.
Port Departure
Goods reach port within 1–2 days. One tracking number, one contact.
Port Proximity Advantage
Shenzhen, Guangzhou, and Yantian ports are all within a 4-hour trucking radius of our Pingyuan County facility. No week-long internal transit — your goods move from QC to port in 1–2 days.
Shipping Methods and Transit Windows
We support three freight modes depending on your volume and urgency:
Sea Freight
FCL & LCLThe default for production orders. Full container loads (20' or 40' HC) ship direct from Yantian or Nansha port. LCL consolidation is available for orders under container volume.
Default for production orders- North America (West Coast)14–18 days
- North America (East Coast)25–30 days
- Europe (major ports)22–28 days
- Southeast Asia5–10 days
- Middle East15–20 days
- South America30–40 days
Air Freight
Guangzhou Baiyun (CAN)For samples, urgent reorders, or lightweight items. We ship from Guangzhou Baiyun Airport (CAN). Cost is higher per kilogram, but if you need 50 LED PARs on-site for a show next week, air gets them there.
Urgent & sample shipments3–7 days to most destinations worldwide
Express Courier
DHL, FedEx, UPSFor sample shipments, replacement parts, or orders under 100 kg. Door-to-door delivery worldwide. We use our corporate courier accounts, so you get commercial shipping rates rather than retail pricing.
Under 100 kg / door-to-door3–5 business days door-to-door worldwide
Multi-Destination Routing
For orders shipping to multiple destinations — say, one pallet to your US warehouse and another to your European distributor — we split and route at origin. One PO, two delivery points, no double-handling on your end.
Production Lead Times Before Shipping
Shipping timelines start after production completes. Here's what the production side looks like:
Standard Models
In-Stock SKUs
- 3–7 days for sample quantities
- 15–20 days for production orders up to 2,000 units
OEM Orders
Existing Fixture, Your Branding
- 20–25 days including packaging customization
ODM / Custom Development
First Production Run After Sample Approval
- 30–45 days for first production run
These are working-day estimates. We confirm exact dates on your order acknowledgment, and our export team sends progress updates at key milestones — SMT completion, assembly finish, aging test start, and packing complete.
Export Packaging Built for Container Survival
Stage lighting fixtures are heavy, contain optical components, and include precision-aligned mechanical parts. We pack accordingly.
Individual Unit Protection
Each unit sits in a molded EPE foam insert inside an individual color box or kraft carton. The foam is die-cut to the fixture profile — no shifting during transit, no lens-to-housing contact, no gobo wheel displacement.
Master Carton Strength
Master cartons use double-wall corrugated board rated for stacking strength (ECT 44 minimum), because your container stacks 5–6 layers high and the bottom row takes the full load for 3–4 weeks at sea.
Moving Heads & Beam Lights — Extra Protection
For moving heads and beam lights — which have exposed yokes and pan/tilt mechanisms — we add corner protectors and internal bracing to prevent axial stress on the motor assemblies during rough handling.
We redesigned our moving head packaging in 2021 after seeing dented yokes on a Middle East shipment. The new insert locks the head in the tilt-up position so the center of gravity stays neutral.
Palletization & Container Loading
Palletization follows standard container dimensions. We maximize cube utilization by mixing carton sizes where your order includes multiple SKUs — smaller PAR cartons fill the gaps above larger moving head boxes. This isn't a packing trick; it's how you avoid paying for air inside your container.

Documentation and Customs Compliance
Every shipment includes the full documentation set your customs broker needs — pre-classified, PDF-archived, and tied to your order number for instant retrieval.
Commercial Invoice
Complete with HS codes, unit values, and country of origin declaration for every line item.
Packing List
Carton-level detail including dimensions, weights, and contents per carton for warehouse receiving.
Bill of Lading / Air Waybill
Bill of lading for sea freight or air waybill for air shipments — issued with every consignment.
Certificate of Origin
Form A, Form E, or general CO depending on your destination's preferential trade agreements.
Compliance Certificates
CE, FCC, and RoHS compliance certificates issued per fixture model — ready for import authority review.
Material Safety Data Sheets
Provided where required, including lithium battery declarations for wireless fixture models.
HS Code Pre-Classification
HS codes are pre-classified by our export team based on fixture type — LED lighting fixtures typically fall under 9405.42 or 9405.49 depending on your destination's tariff schedule. If you need specific tariff classification advice for your market, we provide the technical specifications your customs broker needs to make the determination.
Permanent document archive: We keep all compliance documents as PDFs tied to your order number in our system. If your customer asks for a replacement certificate two years from now, we pull it in minutes — no re-testing, no re-issuing fees.
Incoterms and Freight Responsibility
We ship under the Incoterm that fits your logistics setup. Choose the level of control and cost visibility that works for your operation.
Ex Works
You or your forwarder picks up from our factory gate. You control the entire chain from origin to destination.
Shenzhen / Yantian / Nansha
We handle inland transport to port, export customs clearance, and container loading. Risk transfers when goods cross the ship's rail.
Your Destination Port
We arrange and pay for freight and marine insurance to your named port. You handle import clearance and last-mile delivery.
Delivered Duty Paid
We handle everything including import duties and delivery to your door. Higher upfront cost, but zero logistics work on your end. Available for select markets where we have established forwarding partners.
First-time importer? Most of our buyers work on FOB or CIF terms. If you don't have a freight forwarder relationship yet, we can recommend partners in your destination market — no markup from us, just a warm introduction.
Cargo Insurance and Damage Resolution
CIF & DDP Shipments
We insure all CIF and DDP shipments as standard — coverage at 110% of invoice value, which is industry practice.
Claims are filed by GDMonkey directly with all factory-side documentation included.
FOB Shipments
For FOB shipments, insurance is your responsibility. We recommend you carry it — marine cargo claims happen, and a container of moving heads is a significant value at risk.
We support your claim with all factory-side documentation when filing under FOB terms.
If Goods Arrive Damaged Despite Proper Packaging
Document Damage
Take photos at the point of receiving — before unpacking beyond the damaged cartons.
Report Within 7 Days
Send photos and your packing list to your GDMonkey contact within 7 days of delivery.
We File the Claim
We file the cargo claim (CIF/DDP) or support your claim (FOB) with all factory-side documentation.
Resolution
Replacement units ship on your next order at no charge, or we issue credit — your preference.
In twelve years of export shipments, our damage rate runs below 0.3% of units shipped. The packaging investment pays for itself.
Order Tracking and Communication
Once your order ships, you receive full visibility from container departure to port arrival:
Booking Confirmation
Carrier booking confirmation with vessel name and estimated departure/arrival dates.
Bill of Lading
Bill of lading or tracking number within 48 hours of container departure.
Arrival Notification
Arrival notification 3–5 days before estimated port arrival.
Your primary contact remains your sales representative (Teresa or assigned account manager) throughout the shipping process. One thread, one person, factory-to-port visibility.
